Milliken Memorial Community House Rental Agreement

 

This agreement is made between the Milliken Memorial Community House Association INC. and the client hereinafter referred to as the “Renter.” The Renter’s name is:

Deposit

• A deposit of $400 is due when the Renter schedules an event.
• If the Renter does not make a deposit and sign this rental agreement, the Milliken
Memorial Community House is not obligated to schedule nor hold any dates for the use of
the Renter.
• After the Renter’s event has been held, a member of the Board of Directors, or the Director,
will inspect the premises to determine as to whether all rules set forth in section entitled “Rules” of this agreement have been fulfilled. Upon determination that the rules have been followed, the Renter’s deposit shall be returned, less any applicable charges for damage done to the facility while it was in the possession of the Renter. If damages exceed $400, the Renter will be responsible for the difference, and all major destruction of the facility will be prosecuted.
• Renter will be held responsible for damages caused by decorators, caterers, volunteers, and all others associated with the Renter.
• Deposits for events that are cancelled within one-month (30 days) of their scheduled time will be forfeited.
• Deposits may be donated to the Milliken Memorial Community House, INC. possibly as a tax-deductible donation. Consult your accountant for more information.
• All events booked online must be “double-confirmed,” which consists of a first confirmation and a second confirmation in order to have the booking date permanently held. A first confirmation is automatically receipted via email to the email listed in the booking agreement immediately after the online transaction process is completed. A second confirmation will be sent via email to confirm the booking completing the “double-confirmation” process.

Rules

The Renter and their associated parties shall:

• Call 1-270-731-6113 and leave a message detailing any significant damage detected prior to their rental. The Renter may also take photographs with a time stamp indicating damage was done prior to their use. If the Renter does not report damage that the Renter did not cause, the Renter may be held responsible for the damage.
• Not use tape, tacks, nails, screws, quick tabs, glue, wire, or any other adhesives are to be used on any of the interior or exterior surfaces of the facility. There is no exception to this rule. Decorations shall be independent of the surfaces and features of the building. No glitter or confetti shall be used in ay decorations.
• Not take cuttings from any bush, tree, or flower on the facility’s grounds.
• Furnish their own dish towels, dishes, garbage bags, and detergent. The Renter must
wipe down all kitchen surfaces before the rental period is complete. The Renter is
responsible for removing their own trash.
• Not remove any items from the facility. Their return will be requested and prosecuted to
the fullest extent of the law.
• Not move the following items: statue on pedestal of woman, books in the library, pictures
or wall art, the grandfather clock, any pianos, kitchen tables, or seats from the auditorium.
• Not push the carts of tables and chairs against the wall of the Ballroom/Banquet Hall. This
will protect the walls from scuffs and dents.
• Only use the portion of the facility that the Renter has agreed to rent in this agreement.
• Not park on the lawn
• Not engage in destructive, violent, or illegal behavior. This includes consuming alcohol
outside of the building, in accordance with all local, state, and Federal laws.
• Not smoke or vape inside the building.
• Not allow persons under the age of 18 to use the property without a chaperone.
• Clean the rooms used for the Renter’s event. This includes sweeping, vacuuming, and
mopping all floors until appropriately clean.
• Leave all thermostats set to no lower than 78 degree in the warmer months, and less than
68 in cooler months of the year.
• Report all damage(s) and shall not attempt to make repairs.
• Place all tables and chairs in their proper storage places.
• Turn off all lights, lock the doors, windows, and empty all trash receptacles.
• Not utilize the Library, basement, and storage rooms, for any purpose(s).
• End all events at 11:00pm and the building and grounds shall be cleared and vacated by 12:00am, unless renter has written permission from the Director of the Milliken Memorial Community House Association, or the Milliken Memorial Community House Association President; also, not renter shall be allowed to enter Milliken Memorial Community House earlier than 8:00am on the day(s) of rental.

Witnesseth

• Failure to follow the rules for the use and preservation of the facility will result in your forfeiting your right to future use of the building.
• Major destruction will be prosecuted to the fullest extent of the law.
• Any illegal activities will be reported to local authorities for prosecution.

Rental Agreement

Note: The Milliken Memorial Community House is available for rental on a “per-room, per calendar day” basis, and an “entire facility, per calendar day,” basis in accordance with the rate schedule. Click Here To View Rate Schedule

The full deposit is due on the day that the facility is reserved. The full rental amount is due before, or on, the day that the faculty is occupied by the Renter.

Your deposit of $400 will be held to reserve the facility and will be released upon verification the the facility has been properly cleaned, maintained, with no damage, and all rules have been followed during the period of rental. Any damage to the building, tables, chairs, etc. will be deducted from your deposit before refunds are made. If damage exceeds deposit, a bill for the remainder will be sent to the Renter. Refunds will be mailed within three weeks of the last use of the building by the Renter.

Set-Up and Break-Down

If the Renter desires to book the day before, or the day after their primary event date, they must pay full rent of the building for that entire day.

By digitally signing this document, I agree that I have read the rules for the use of the facility. I agree to follow the rules for the preservation of the facility. I agree to pay the full amount of damages done by me and/or my guest(s) and my vendor(s), beyond the deposit, and I understand that major destruction of the property will be prosecuted to the fullest extent that the law allows.
